Pivot Tables ? Excel Tool for Data Analysis

As we are all aware excel is widely used for accounting and financial purposes.

In the past they were used only to perform basic moths, such as adding, multiplying, subtracting and dividing. Today?s spreadsheets can be significantly different and far more advanced. A CA office cannot work without excel. But do we CA?s utilize excel to its optimal? Sadly no!? Most of us never realize the full potential of using Excel. EXCEL has numerous features which can reduce your time & your client?s time in day to day analysis and reporting.

These features can simplify your work in relation to Auditing, Investigation of frauds, MIS Reporting, Compiling data for Income Tax Assessments or Vat Audit.

In this article we shall deal with one of the most dynamic & import feature of Excel: Pivot Table:

Pivot Tables are interactive table that allow the user to group and summarize large amounts of data in a concise, tabular format for easier reporting and analysis within matter of minutes.

One limitation of the standard Excel worksheet is that you can?t easily change how the data is organized on the page. For example, in a worksheet in which each column represents an hour in the day, each row represents a day in month, and the body of the worksheet contains total sales for every hourly period of the month, you can?t change the worksheet quickly so that it displays only sales on Tuesdays during Afternoon.

One advantage of Pivot Table?is that it allows you to sort, filter, rearrange, hide, and display different category fields within the Pivot Table to provide alternate views of the data.

Steps in creating Pivot table:

Step 1: Entering the Pivot Table Data

The first step in creating a pivot table is to enter the?data?into the?worksheet.

Data should be in tabular format.
Headings. This is a must! They should always be in the row directly above your data.
Avoid blank rows or columns?when entering the data. This includes?NOT?leaving a blank row between the column headings and the first row of data.
It is important to enter data correctly. Errors, caused by incorrect data entry, are the source of many problems related to data management.

Data can also be imported from various sources.

In the example we have tabulated sales data of a company. Various columns are Date, Product, State, Customer and Revenue.

?Step 2: Insert?? Pivot Table?? Wizard as shown below will be displayed?? Select source data ? Select worksheet where Pivot Table is to be displayed?? Click Ok?????

Step 3: Pivot Table Field List Task Pane will be displayed as under:

Pivot Table contains four areas namely Report filter, Column Labels, Row Labels & Values.

All the headings in our data are fields.

Just drag fields into particular area to get the desired reports.

Below example shows State wise, Product wise revenue.

State field is dragged into Row area. Product in Column area & Revenue in Value area.

We have now observed how Pivot Tables can be easily used to compile and analyze large voluminous data in just few clicks!!!

Changes in Pivot table:

It is very simple to make changes in Pivot Tables.

If in above example Product wise, state wise Sales are required. Just move state to Column area and Product to Row area.

Or State Wise, Customer wise, Product wise Sales is required. Add Customer field to row area.

?Similarly if we want Quantity details along with revenue. Quantity field can be inserted in Values.

Numerous reports can be created from any given set of data. The possibilities are endless and the reports are displayed at just flash of a moment.

It is important to note that the order in which you enter the fields in the Row labels and column labels areas affects how Excel organizes the data in Pivot Table.

We find the best part about Pivot Tables is their ability to be manipulated via ?Trial-and-Error??and immediately show the result. If its? not what you expect, simply use the?Undo?feature?and/or have another go!? What you must always remember is that you are?not changing?the structure of your original table in any way at all, so you can?do no harm!

Well, basically Pivot Table allows us to pivot our data via drag-and-drop to produce meaningful information. This makes Pivot Tables interactive .Once the table is complete we can very easily see what effect moving (or pivoting) our data has on our information. This will become patently clear later on, once we have produced a Pivot Table. Believe me, no matter how experienced you get at Pivot Tables there will always be an element of trial-and-error involved in producing the desired results! What this means is you will find yourself pivoting your table a lot!

Drill down to detail:

It is also possible to drill down to the details of the report by double clicking on particular cell.

In above example, If we double click on Product 1: Maharashtra i.e. Rs 10600000. Details as under will be displayed on separate sheet.

Refresh Pivot Table when source data Changes:

If any changes are made in source data, these are not directly refreshed in Pivot Table. Doesn?t worry you need not create Pivot table all over again. You can simply right click in your Pivot Table and select Refresh Data from the popup menu.? Excel pops up an information message telling us the Pivot Table report has changed.?Simply select OK.

Filtering Data in Pivot Table:

Filter option is available on row and column labels within the body of Pivot Table. Clicking either of those headers enables you to select a field by which you can sort or use filters or advanced filter option.

If in above example we want State wise sales of Product 1 & Product 2 only:

Similarly one can use advanced filters options also within pivot table.

Similarly data can be sorted in Pivot Table as required.

Change in field Settings:

One can change field setting of data in Pivot Table. For e.g. if instead of Sum of revenue, we want Average Revenue.

Right click ?Value Field settings?? Select Average?? Click Ok.

?There are many other options in Value Field settings namely: Max, min, count etc.?

Formatting cell in Pivot Table:

We can easily format a cell in Pivot Table as we do in normal excel worksheet. Just right click and format. It helps to emphasis on particular data or presenting the data as desired.

Layout and Format of Pivot Table:

Right Click ? Pivot Table Options?? One can select from various options available and obtain desired layout

Creating charts from Pivot tables:

It is rightly said a diagram is worth hundred words. We can create charts from Pivot Table. Any changes made in the Pivot Table on which the Pivot Chart is based are reflected in the Pivot chart. For e.g. If you filter the content in Pivot Table the filter will be reflected in Pivot chart. You can also filter data in Pivot chart directly.

Pivot table Tools?? Options ? Pivot Charts?? Select the appropriate chart type.

In this case we have selected Columnar Chart.?

We can now filter and view chart just for Product 1 & Product 2:

One can easily customize the appearance of chart created through Pivot table as in case of normal charting function. Select the chart layouts and Chart styles from various options available.

As a Chartered Accountant, Pivot Tables and Pivot charts can simplify numerous tasks on daily basis. To give a few examples:

1)?? In MIS reporting: Party wise sales analysis, Product wise sales analysis, Area wise sales analysis, and Monthly sales analysis. Cost analysis. Expenses analysis. Profit analysis, Employee Performance Analysis, Payroll Function, Budgeting, Ratio Analysis etc etc?.

2)?? Fraud investigation.

3)?? Effective Audit tool to summaries and analyise data and find variances.

4)?? In can simplify work of preparing & consolidating data for Income tax Assessments.

5)?? Preparing Bank summary from Bank statements available in Excel.

6)?? Summarizing Party wise Sales, Purchases, and Vat etc for Vat Audit.

and the list goes on??.

No wonder Pivot Table is a very powerful analysis tool.

Obama trying to hold off Romney with women voters

VIENNA, Va. (AP) ? President Barack Obama has been wearing a pink wristband in recognition of breast cancer awareness month and his challenger, Mitt Romney, donned a pink ribbon on his shirt during a factory stop in Ohio.

The symbolic gestures are part of a determined competition in the campaign's closing weeks for suburban and working women who could help determine the winner in a series of toss-up states.

Women have emerged as the pivotal voting bloc in the aftermath of the second presidential debate, where Obama and Romney sparred over contraceptives and pay inequality and Romney spoke about reviewing "binders full of women" as governor when he sought to diversify his Massachusetts administration.

Some national polls suggest Obama's longstanding edge with female voters is narrowing, prompting both sides to make an all-out blitz for women.

At the heart of the debate, which is playing out in the suburbs of northern Virginia and in several swing states, is this question: What will most motivate women in the 2012 election?

Romney's pitch is heavily focused on economic issues ? his campaign contends that the vast majority of women will respond to pocketbook issues like paying for gasoline or groceries, the need for more take-home pay and how the federal debt might affect their children.

Obama has emphasized a mix of economic and social issues, warning that Romney's vow to repeal the Obamacare health law would hurt women and the Republican would fail to protect abortion rights.

Shirley Jackson, an 82-year-old Republican from Vienna, Va., said she continues to support Romney but is worried about how women perceive him. Jackson said she recently facilitated a discussion about the election at her local Red Hat Society meeting and was struck by how many women in the group said they were turned off by Romney's opposition to abortion rights.

"He has lost a tremendous amount of support among women because of this decision," Jackson said.

Democrats say Romney's views on women's health should be a deal-breaker. Melissa Skelton, 41, a stay-at-home mom from Vienna, said women's health has overshadowed other issues for multitudes of women ? and would help the president.

"I'd rather live with a president who struggles with the economy but cares about people," she said.

Romney's campaign is mindful that it does not need to win a majority of women because it maintains a healthy lead among men. But campaign officials say they could severely weaken the president's re-election chances by slicing into the 13-point margin Obama had with women voters in 2008 and picking off support in swing states where women form a majority of the electorate.

Obama's team, meanwhile, is trying to take advantage of the president's personal favorability among women and undermine those voters' trust in Romney.

Ads have highlighted Romney's opposition to federal funding for Planned Parenthood and his shifting views on abortion rights, which he supported in Massachusetts but has opposed during his two presidential bids. The Obama ads end with this tagline: "Women need to know the real Mitt Romney." Abortion-themed ads have been on the rise in recent weeks across the political spectrum, more than tripling in the number of occurrences since mid-September, according to Kantar Media Intelligence.

The campaigns are competing for women in several key suburban markets ? including northern Virginia, the Denver suburbs, central Florida and Cleveland's suburbs ? while simultaneously appealing to unmarried women and those with blue-collar backgrounds who have been more vulnerable to the slow economic recovery. Obama won about 70 percent of unmarried women and carried about 60 percent of suburban women in 2008, setting a high bar for the president's campaign.

The intense effort to reach female voters has grown as national polls have shown cracks in Obama's support among women. Four years ago, Obama and Republican rival John McCain essentially split men in 2008 but polls have shown Romney with a double-digit lead among males this time.

"The big gender gap I'm looking at right now is Obama's male gender gap because those men seem pretty cemented in," said Republican pollster Kellyanne Conway, who served as an adviser to Newt Gingrich's presidential bid. "Whereas there's a fair amount of women who remain fluid, either completely undecided or soft in their support for either Obama or Romney."

Romney has sought to distance himself from statements he made on abortion and contraceptives during the Republican primaries while driving home that his economic plan would create jobs for women and their families. Romney's wife, Ann, has been a key surrogate for her husband, vouching for him before female audiences.

In TV ads, Romney offers a moderate image. In one ad, a woman says that Romney "thinks abortion should be an option in cases of rape, incest or to save a mother's life" but says she's "more concerned about the debt our children will be left with." Another spot features women who served under Romney. "He totally gets working women," says Ellen Roy Herzfelder, Romney's former environmental affairs secretary.

Obama reminds voters that the first law he signed was the Lilly Ledbetter Fair Pay Act, which prevents restrictions on workers filing lawsuits over pay inequity. Romney has not taken a position on the bill but said he wouldn't repeal it.

At rallies, the president routinely talks about the women in his life: how his grandmother watched men she trained get promoted over her, how education lifted his wife, Michelle, from a modest upbringing and why it wouldn't be fair if his two daughters earned less than their male counterparts when they eventually join the workforce.

Finding a teacher who really understands kids and music is a key to giving your child an enriching experience in music lessons, but it isn't the only factor. When you start your child in music lessons is also an important factor. If you look, you can find classes for kids as young as six months, but these usually require active participation from the parents and are still more about fun than real music lessons.

Once a child gets up to three or four years old, he or she may be at the ideal age to begin music lessons. When a child is still that young, the classes are short and props are usually used with a lot of singing and movement. Some basic rhythm instruments may be introduced as part of the music lessons to help get the kids on their way. Parents usually aren't required to participate in music lessons at this stage, and kids can start to develop their own musical personality.

If a child has reached five and still hasn't started music lessons, it may be a good idea to get her into a group type of class with other kids her age. A creative teacher will include games with group piano or keyboard lessons to make the experience more enjoyable. Around the age of five is also a good time to start getting them into private music lessons for a particular instrument. The piano or violin can help provide a good foundation for music theory and reading music. Once the child reaches seven, you can think about starting music lessons that involve more complex instruments like the guitar, drums or other string instruments.

It is possible to start music lessons from scratch at seven, but a child may have an easier time with the guitar or drums if he's had some time to learn the piano first. Any new instrument will be learned faster if the basics of music have been learned at a younger age.

While taking music lessons while you're still young may be ideal for learning music as a whole and mastering a single instrument, it's never too late to learn. If you've reached your teen years or even adulthood and feel that musical desire inside, don't ignore it. Pick up an instrument and seek out music lessons with a qualified instructor to learn everything you can. Teens and adults can try the piano, guitar, drums, or any other type of instrument, including vocal lessons. Just remember to practice diligently, and you can make up the lost years faster than you think.

For film tech nerds the world over, this documentary about the advent of digital filmmaking and what it means for the old school film purists is an engaging must-see. Keanu Reeves narrates and interviews an impressive roster of directors, cinematographers, editors, actors, and execs through this highly technical history and many of the subjects are truly game. I think their candidness is largely due to Reeves being there. Most seem to feel really comfortable around him, which is essential to getting some of the gold that comes out of the likes of Steven Soderbergh and David Fincher in particular. Editor Anne Coates, the 86-year-old editor of such classics as LAWRENCE OF ARABIA (1962) and OUT OF SIGHT (1998) brings a refreshing and surprising perspective. Just when you expect the film vs. digital argument to have lines drawn depending on age, Ms. Coates shows a delightful openness to the new technology. This is an astounding time capsule piece which demonstrates how truly far we've come in digital image quality, particularly just in the past few years. There are times where you'll go back and forth about how you feel, because ultimately, both sides make great points. I couldn't believe how terrible some of the earlier digital films looked (TADPOLE or CHUCK AND BUCK anyone?). This may feel really too inside baseball for the layperson, but if you have any interest in how we experience filmed stories, this is essential viewing.

Authorities say a father and his four-year-old son were killed and his wife and two other young children were wounded by a masked gunman who set fire to their home in?Inglewood.

The shooting spree began around 4:30 a.m. this morning?at a residence on the 4900 block of W. 99th Street near the 405 freeway.

Five neighboring houses have been?evacuated as a SWAT team is using police dogs to search for the attacker, who may have lived in a rear house on the?property, Inglewood Police?Chief Mark Fronterotta told KABC.

"Right now we?re looking for a male black, 55, 5 foot 6, 160 pounds, wearing a dark ball cap and at the time of the shooting was wearing what people describe as a painter's mask,"?Lt. James Madia of the Inglewood Police Department told KPCC.

According to KTLA, officials say the home was set on fire prior to the gunfire. Firefighters were initially hampered from fighting the fire, which included the back guest house, because of the gunman who was believed to have been holed up in one of the structures.

Firefighters eventually were able to knock down the blaze around 8:30 a.m.

Officials say a 6-year-old boy and a 7-year-old child are in critical but stable condition. Their mother was shot in the knee and the pelvis as she was trying to carry the youngest child out of the house.?The chief says the father was shielding two of his children when he was?shot.

Police have no?motive, but the gunman may have been a tenant who was recently evicted.

Meanwhile an 8-year-old child was also rushed to the hospital but doesn't seem to have any serious injuries.

Officials are asking neighbors stay inside their homes until the suspect is apprehended.

Home renovation plans ? dreams or reality TOTS 100? - MarisWorld

Right peeps, in it to win it and all that I have BIG plans for some home renovation. I had them the moment I laid eyes on this house. In fact I even said to the Mr, I?m only buying if we can do this, this and this. He said ok and although I was aware my dreams would cost big money I was prepared to wait after all, it?s not like you move house every five years is it?

So after a fair bit of squirreling away the money was saved and it was time to get some quotes in. I got one from a local builder who everyone speaks very highly of, see his blog for yourself. That was at the beginning of the summer. The quote came back at around ?9000 for the complete project with no new kitchen ? that would be extra and then the Mr and I went on holiday to France.

A few glasses of wine, oysters and lots of moules marinieres and we found ourselves talking about getting married! We?ve been engaged for years and a wedding has always been put to one side because of the expense involved, money that could be spent more wisely elsewhere, right? (like home improvement for example)

Wrong! The more we talked the more our wedding came to life and then he came out with.

?Well you can?t have the home improvement AND a wedding, you?re going to have to choose.? Damn.

I went for the wedding, I don?t know why, I just thought it would be a good idea and so my home improvement plan was put to bed for a while longer. *sigh*

Then TOTS 100 announced that ratedpeople.com were offering ?2500 for the best home improvement project. They threw down a challenge for bloggers to take up.

It is far too good for me not to try, after all should the judge, Fiona Fullerton just nip down and take a look she could see for herself how my idea would look simply beautiful and so practical too. Take a look at my Kitchen Pinterest board where I?ve been collecting ideas

The area I have my eye on is the main living area, the heart of the home where we spend the majority of our time as a family. In a nutshell I?d like to knock down the wall separating the living room from the kitchen and put in those fabulous sliding patio doors, you know the concertina ones that look really cool leading onto the patio.

In order to do this the kitchen will need to be moved back to it?s original home and I?d keep it all open plan, which is the choice of most interior designers these days and because that area is quite small, well I?d need to knock down another wall, make the bathroom smaller and ideally fit in a utility area because that would be so damn posh wouldn?t it?

As for the bathroom it?s very tired, it will need a complete overhaul.

So, that brings me on very nicely as to how I will spend my ?2500 should I win.

I think the only way to make this project do-able is to break it down into smaller parts and I think as much as I?d love the open plan bit completed like yesterday I?m going to have to settle for the bathroom for now.

?Rip out the whole lot; tiles, fake dropped ceiling, old bathroom suite and floor. I would only keep the boiler as it works and that would cost ?2500 alone to change
Change the two windows as the double glazing is blown.
If I can ? knock out the fake walls housing the shower and sink. Replace with a glass shower which drains directly into the floor with one of those large rose heads that are so pretty.
Add a large sink unit which attaches to the wall but has no pedestal allowing for easier cleaning. This is a well used bathroom as part of the main living area.
Rip down the formica homing the boiler and home with something less ?In-Yer-Face? and possibly construct a cupboard to home cleaning products and so on.
Re-tile the entire bathroom in delightful bright, luminous and modern ceramics

So surely ratedpeople.com could come and take a look? Surely they could tell me the best way to use my space and be able to tackle this project in three stages to make it easier to accomplish? They could advise me on where to get windows, the best bathroom suites and which tiles would illuminate the space to the best advantage.

And when that?s all over maybe we could look at decorating the hall and stairway too but that?s another blog post.

So there you have it TOTS 100, that?s my plan. Can you help?
